Terms and Conditions
Clarity and elegance go hand in hand. Our hire policies
are designed to support your sophisticated event,
ensuring every detail meets the highest standards.

1. Definitions
1.1 “Company” / “We” / “Us”: MooMuu Experiential.
1.2 “Client” / “You”: The contracting party named on the booking
confirmation.
1.3 “Event”: The occasion for which Services are booked.
1.4 “Services”: Hire and operation of photo booths, sketch bots,
AI, digital graffiti walls, and related experiential products.
1.5 “Products”: Equipment provided by the Company for the
Event.
2. Booking and Initial Payment
2.1 Bookings are confirmed only when a signed booking
agreement and initial payment (non-refundable, except if we
cancel) are received.
2.2 Balance payment is due 14 days before the Event. Failure to
pay may result in cancellation under Clause 8.
2.3 Booking confirmation constitutes agreement to these Terms
and Conditions.
2.4 Acceptable payment methods include card, bank transfer, or
other methods agreed in writing. Any associated fees are borne
by the Client.
2.5 All prices quoted are inclusive. No VAT added unless explicitly
stated.
3. Access and Venue Requirements
3.1 The Client must ensure the venue permits use of our Services
and provides adequate access, parking, and setup conditions.
3.2 The Company may refuse performance if access is unsafe,
inadequate, or may cause damage. Fees remain payable in such
cases.
3.3 The Client must provide:

Safe, flat floor space of at least 3m x 2m for each booth
•
Standard UK power supply (13A socket within 10m)
•
Wi-Fi where required for social media, email, or AI functions
•
Suitable parking for a large 4x4-sized vehicle within 50m of
the venue
3.4 Equipment will not be carried up stairs unless a safe elevator
is available.
3.5 Any delays caused by venue restrictions, blocked access by
third-party vendors, or other access issues will reduce run-
time, without compensation.
3.6 The Client is responsible for obtaining any permits, licenses,
or approvals required by the venue.
3.7 The Company is not liable for delays, reduced performance,
or interference caused by third-party vendors, venue staff, or
other suppliers.
4. Safety, Supervision & Outdoor Events
4.1 Children, minors, and vulnerable adults must be accompanied
by a responsible adult at all times while using the booth.
4.2 Props must remain with the booth. Any lost or removed items
may incur a replacement charge of £8 per item.
4.3 Booths are generally not designed for very small children;
parents or guardians are responsible for supervising elevation or
climbing risks.
4.4 The Company accepts no liability for unsupervised use of the
booth or injuries caused by guests.
4.5 The Client is responsible for ensuring the booth area is free
from trip hazards, wet floors, and fire risks.
4.6 For outdoor events, the Company reserves the right to
amend the setup location or orientation, or to cancel the service
if, in the Company’s reasonable opinion, weather
conditions—including but not limited to high winds, heavy rain,
flooding, or extreme temperatures—make it unsafe or impractical
to proceed. In the event of cancellation for safety reasons, the
Client remains responsible for all fees due, unless otherwise
agreed in writing. The Company will use reasonable efforts to
offer an alternative solution or reschedule where possible.
5. Equipment, Printing & Digital Features
5.1 Booths use DSLR cameras and may print onsite. Social media,
digital, and AI booths rely on Wi-Fi and mobile networks, which
cannot be guaranteed.
5.2 Standard packages include one 6x4 print per visit, unless
otherwise agreed. Unlimited prints and upgrade options are
available at additional cost.
5.3 Where unlimited prints are not included, additional one-off
prints may be purchased during the event at £3 per 6x4 print,
payable by cash or card.
5.4 Digital files will be delivered within 10–14 days post-event.
5.5 The Company is not responsible for social media posts,
uploads, or sharing of images by guests.
5.6 The Company will not be liable for delays, reduced
performance, or data loss caused by software, firmware, third-
party apps, social media API changes, upload limits, or other
technical failures.
5.7 The Company cannot guarantee future availability or
compatibility of third-party social media integrations.
5.8 The Company reserves the right to modify setup or operation
of equipment to maintain service quality in the event of software,
hardware, environmental, or weather-related issues.
6. Client Obligations
6.1 Provide accurate information regarding the venue, access,
event schedule, and any restrictions.
6.2 Notify the Company in advance of obstacles preventing
vehicle access, steps, slopes, narrow doorways, uneven paths, or
temporary structures.
6.3 Failure to disclose relevant information may result in non-
performance, delayed setup, or shortened run-time.
6.4 The Client is responsible for informing guests that their
images may be used by the Company or for Client marketing.
6.5 The Client is responsible for any loss of, or damage to, the
Company’s equipment caused by the Client, their guests, venue
staff, or other third parties, beyond normal fair wear and tear.
Written notice and evidence (photographs or repair estimates)
will be provided. Reimbursement is due within 14 days. Liability is
limited to the replacement or repair cost of the affected
equipment and excludes consequential losses.
7. Staffing and Conduct
7.1 Our trained staff will operate the equipment throughout the
Event.
7.2 Services may be terminated immediately if staff face abusive,
unsafe, or threatening behaviour. No refunds will be given.
7.3 Excess alcohol or unruly behaviour may result in restricted
access to equipment.
7.4 The Company may refuse to operate Services if staff assess
the environment as unsafe or non-compliant.
8. Cancellation & Rescheduling
8.1 Cancellations must be submitted in writing. Charges:
•
90+ days: loss of initial payment only
•
61-90 days: 50% of total fee
•
31-60 days: 75% of total fee
•
0-30 days: full fee
8.2 Rescheduling is allowed once per booking, subject to a £50
fee, at least 61 days’ notice, availability, and within 12 months of
the original date.
8.3 The Company may cancel if balance is unpaid, false
information is provided, abusive behaviour is reported, or
booking appears fraudulent. Full refunds apply if the Company is
at fault.
8.4 No additional compensation is due if the Event is shortened
due to circumstances outside the Company’s control.
9. Force Majeure & Weather
9.1 Neither party is liable for failure to perform due to
circumstances beyond reasonable control, including natural
disasters, pandemics, government restrictions, or road closures.
9.2 The Company will offer a new date or refund fees, less
unrecoverable costs.
9.3 No additional compensation is due if the Event is shortened
due to circumstances outside the Company’s control.
10. Liability
10.1 The Company is not liable for venue restrictions, guest
conduct, power/network failures, acts of third parties, or
indirect/consequential losses.
10.2 Maximum liability is limited to fees paid by the Client.
10.3 Nothing excludes liability for death, personal injury caused
by negligence, or fraud.
10.4 The Client indemnifies the Company against claims arising
from guest misconduct or breach of these Terms.
10.5 The Company is not liable for compatibility issues with social
media platforms, apps, or APIs.
10.6 No additional compensation is due if the Event is shortened
or reduced due to circumstances outside the Company’s control.
11. Insurance
11.1 The Company holds:

£10,000,000 Public Liability Insurance
•
£10,000,000 Employer Liability Insurance
•
£10,000,000 Product Liability Insurance
11.2 Evidence of insurance will be provided upon request.
12. Media, Intellectual Property & Data Protection
12.1 All images, videos, and templates produced during the Event
remain the property of the Company.
12.2 The Company may use images and media for marketing,
publicity, or promotional purposes in compliance with UK GDPR.
12.3 Guest data will be securely retained for 12 months, unless a
removal request is submitted in writing.
12.4 The Company is not liable for GDPR breaches caused by
guest actions, venue network issues, or third-party applications.
12.5 The Client is granted a non-exclusive, royalty-free license to
use images, videos, and media for personal or promotional
purposes, including advertising, social media, and event
marketing.
12.6 This license does not permit the Client to sell, sublicense, or
distribute media to third parties without the Company’s prior
written consent.
12.7 Where possible, the Client agrees to credit MooMuu
Experiential when using the media publicly.
12.8 The Client must not alter media in a way that misrepresents
the Company or breaches copyright or trademark laws.
12.9 All images and media produced during the Event are stored
securely on the Company’s servers. Images will be retained for 12
months unless the Client provides written consent to retain them
longer for marketing or archival purposes.
In the event of accidental loss or deletion, the Company will use
reasonable efforts to locate and resend the Client’s media. A
small administrative fee may apply for this service, as agreed in
writing.
Clients may request deletion of their images at any time, in which
case the Company will remove them from storage in accordance
with GDPR.
12.10 From time to time, the Company may capture photographs
or video footage during the Event for its own marketing,
promotional, or portfolio purposes. By booking the Event, the
Client consents to the Company using such media, provided it
does not misrepresent the Client or their guests.
13. Health & Safety
13.1 Clients must comply with all venue health and safety
requirements.
13.2 Staff must be provided with soft drinks during the Event.
13.3 No drinks or glassware are allowed near the booth. Spillage
may result in suspension or termination of services.
13.4 Client is responsible for ensuring the booth area is free of trip
hazards, wet floors, and fire hazards.
14. Event Duration & Extensions
14.1 Hire period is as agreed in the contract.
14.2 Setup begins approximately 1 hour before start time.
14.3 End time will not exceed 23:00 unless agreed in writing.
14.4 Extensions must be arranged in advance; additional fees
apply.
14.5 Events cannot start before 8:00 AM unless agreed.
14.6 Late venue access reduces run-time.
14.7 Setup and breakdown time is in addition to hire period.
14.8 No compensation is due if the Event is shortened due to
circumstances outside the Company’s control.
14.9 The Company is not responsible for delays caused by public
events, traffic, or venue restrictions.
15. Equipment Malfunction & Prorated Refunds
15.1 If equipment fails, the Company will attempt repair or
replacement.
15.2 If Services are partially or fully prevented, a prorated refund
applies.
15.3 Refunds exclude travel fees and optional items already used.
15.4 Refunds are issued within 7 working days to the original
payment method.
15.5 The Company is not liable for indirect losses, including
missed photos or social media shares.
16. Optional Services / Customisations
16.1 Bespoke props, branding, or additional setup incur extra
charges agreed in writing.
16.2 Ownership of custom materials remains with the Company
unless agreed otherwise.
16.3 The Company is not liable for damage or loss of custom
items once supplied.
16.4 Clients must provide accurate logos/branding; the Company
is not liable for errors from incorrect materials.
17. Complaints
17.1 Complaints must be submitted in writing within 14 days of the
Event.
17.2 The Company will acknowledge within 48 hours and respond
within 21 days.
17.3 Failure to submit within 14 days constitutes acceptance that
Services were delivered satisfactorily.
18. Governing Law & Miscellaneous
18.1 These Terms are governed by the laws of England and
Wales. Parties submit to the exclusive jurisdiction of the courts of
England and Wales.
18.2 If any clause is unenforceable, the remainder remains in
effect.
18.3 The Client may not assign this agreement without written
consent.
18.4 The Company may subcontract elements of the Services,
retaining overall responsibility.
18.5 These Terms constitute the entire agreement and supersede
all prior proposals, quotations, representations, or
communications relating to the Services.
